The Core Document Set
1. Commercial Invoice
Must show the exact goods description, quantity, unit price, total value, currency, and the names and addresses of both buyer and seller. Any mismatch with the packing list or Bill of Lading is one of the most common causes of a customs query.
2. Packing List
Details the physical packing of the shipment — number of boxes or pallets, weight, dimensions, and contents per package. Customs cross-checks this against the invoice and the physical goods during inspection.
3. Bill of Lading (Sea) or Airway Bill (Air)
The transport document issued by the shipping line or airline, confirming the shipment was loaded and specifying consignor, consignee, and cargo details. This is required to file the import declaration.
4. Certificate of Origin
Confirms the country where the goods were manufactured, and is often required by customs to apply the correct duty rate, particularly for goods eligible for preferential trade agreement rates.
5. Import/Export Permits (Where Applicable)
Regulated categories — food, cosmetics, chemicals, electronics, and telecom equipment among them — require a specific permit or NOC from the relevant UAE authority before clearance.
6. Delivery Order
Issued by the shipping line or airline's local agent once freight charges are settled, authorising the release of the cargo from the port or airport to your nominated transporter.
7. Customs Client Code Documentation
Your company's Customs Client Code (customs card), linked to your trade licence, must be active before any declaration can be filed under your company name.
